ADMIN & OPERATIONS ASSISTANT (PART-TIME)

OVERVIEW
We are hiring a part-time Admin & Operations Assistant to support the day-to-day operations of KRose Company and Cattleman U.
This is a high-trust, high-responsibility role for someone who naturally thinks ahead, takes initiative, and looks for ways to make things easier for the team.
The right person for this role is someone who says:
“Let me take that off your plate.”
“I already handled that.”
“I did some research and here are your options.”
“Would it be easier if I just took care of this for you?”
You are proactive, detail-oriented, and take pride in following through. You don’t wait to be told what to do next. You anticipate needs, solve problems, and keep things moving.
This is a customer-facing and operations-heavy role, requiring strong communication skills, organization, and confidence in decision-making.
ROLE DETAILS
Part-time: 10–20 hours per week
Remote position
Availability required throughout the day with consistent responsiveness
KEY RESPONSIBILITIES
Customer Communication & Inbox Management
Manage Karoline’s inbox, responding to emails in a timely, professional, and confident manner
Send weekly customer emails and communications
Answer and manage three office phone lines
Provide a high level of customer service with a positive, solutions-oriented attitude
Follow up with clients and team members to ensure nothing falls through the cracks
Operations & Administrative Support
Manage calendars, scheduling, and coordination across team members and clients
Sit in on meetings, take clear notes, and send follow-ups both internally and to clients
Review meetings and provide organized summaries and action items
Assist in keeping projects moving forward and deadlines met
Research & Problem Solving
Conduct research to support business decisions, vendors, tools, or opportunities
Present clear, organized options so leadership can make decisions quickly
Take ownership of tasks from start to finish
Data & Systems Management
Build, manage, and improve spreadsheets in Excel and Google Sheets
Create functional and visual tools such as progress trackers, dropdown systems, dashboards, and reporting sheets
Maintain organization across systems and workflows
Marketing & Engagement Support
Respond to comments and messages across social media platforms
Assist with top-of-funnel lead generation and research
Support lead follow-up processes and tracking
Utilize tools such as ManyChat and AI platforms to improve efficiency
ADDITIONAL OPPORTUNITIES

REQUIRED QUALIFICATIONS
Strong communication skills, both written and verbal
Excellent organization and follow-through
Ability to manage multiple tasks and priorities at once
Confidence in responding to clients and making judgment calls when needed
Strong problem-solving and research skills
Strong experience with Excel and/or Google Sheets, including building functional systems
Comfortable answering phones and handling customer interactions
Ability to be responsive throughout the day
Willingness to learn new tools and systems quickly
Agriculture experience is required
PREFERRED QUALIFICATIONS
Experience in administrative, operations, or customer service roles
Familiarity with ManyChat, AI tools, or similar systems
Experience supporting a fast-paced team or business owner
Basic understanding of social media platforms and engagement
